Being able to pull up a past sale in seconds means you can settle a customer dispute, confirm a charge, or track down a refund without digging through paper receipts. This guide walks you through reviewing sales history in Transactions.

How Sales History Works

Transactions gives you a running record of everything sold or refunded at your store, in one searchable list:

Access requirements. You'll need the "Transactions" permission on your role to see this. If "Transactions" isn't in the left-menu bar, ask an admin to turn it on for your store.

  • Completed sales and refunds. Every completed sale, refund, and blind return at your store shows up as a row, newest first. Carts, approved-but-not-completed orders, and parked orders don't count as sales history and are left out.

  • Full transaction detail. Each row links out to a detail page — items, payments, refunds, notes, and an event log — where you can also email or export a receipt.

  • Store scope. If your account has more than one location, a store switcher at the top of the page scopes the whole list to one location at a time.

  • E-commerce is separate. DoorDash and CityHive orders live on their own tabbed queue (New / In progress / Completed), reached from the same area and needing their own "Ecommerce transactions" permission. This guide covers in-store sales history only — not that fulfillment queue.

Viewing Sales History

Step 1

Click on "Transactions" in the left-menu bar.

Step 2

If your account has more than one store, use the store selector in the top right to pick the location you want to review.

Step 3

To find a specific sale, type into the search box — it matches order number, product, customer name, email, phone, or status.

Step 4

To narrow the list by date or amount, use the "Start date", "End date", "Total min", and "Total max" fields above the grid.

To filter by a specific column instead, open the "Filters" panel on the right edge of the grid.

Click the three-dot menu above the grid for more options — rename, duplicate, or share your current saved view, or export the current list to CSV (capped at 5,000 rows per export).


Viewing Sales History for One Product

Step 7

Open the product's detail page and find the "Sales history" section.

Step 8

Click "Highlights" or "Monthly" to see recent sales activity for that item.

Step 9

Click "View all sales" to jump to the Transactions grid, pre-filtered to that item. A drawer for the product may reopen over the list — close it to see the full grid. The product stays applied as a filter while you narrow the results further with search, the date and total fields, or the "Filters" panel. To remove the product filter, click the "×" next to the product's name above the grid.

If the item shares inventory with other linked items, use the toggle next to the results to switch between "This item only" and "Include linked items."


Viewing a Transaction's Detail

From the Transactions grid, click any row's "Transaction ID#."

For an in-store sale, the "Summary" section shows status, channel, store location, device, the employee who rang it up, completed date, and the customer on the order. (An e-commerce order shows a different set of fields here — order code, courier, estimated pickup time, and similar delivery details — since it lives on the separate e-commerce order queue.)

Step 13

"Items" lists every line item with unit price, quantity, and price, plus loyalty points earned if your store has a loyalty program. "Shared notes" and "Internal notes" hold any notes on the order — shared notes print on the customer's invoice, while internal notes are back office–only.

Step 14

"Payments" lists each payment's method and amount, plus the total paid. "Refunds" appears only if the order has any reimbursements, with a total refunded. "Events" is a chronological log of state changes on the order.

Step 15

To send or download a receipt, click the three-dot menu and choose "Email Receipt" (enter one or more emails, separated by commas, plus a bag count) or "Export PDF." For an in-store sale, Export PDF downloads the receipt immediately; for an e-commerce order it opens a bag-count prompt first. Both options are grayed out if the order isn't ready for a receipt yet.

Complete, Cart, Canceled, Returned, or Awaiting return (a blind return shows as "Blind return", though that value isn't one of the choices in this column's own filter)

Customer

The customer attached to the order, if one was selected

Total

Order total; a blind return shows as a negative amount


What It Looks Like on a Transaction's Detail Page

Grayed-out "Email Receipt" and "Export PDF" options mean the order isn't ready for a receipt yet — this clears once the order completes. On an e-commerce order, "Export PDF" first opens a small prompt asking for a bag count before it downloads.


Troubleshooting

  • "Transactions" doesn't appear in the left-menu bar: the signed-in user's role doesn't have the Transactions permission granted for that store. Have an admin add it under the user's role/permission settings.

  • A sale is missing from the list: this list only shows completed sales, refunds, and blind returns — a draft, an approved-but-unfinished order, or a parked order won't show up here yet. Check whether the sale was actually completed at the register.

  • A sale shows up outside the date range you set: the date filter also matches on refund date, not just completion date, so an older sale can appear if it was refunded within the range you picked.

  • CSV export looks cut off: exports are capped at 5,000 rows; narrow the date range or add filters before exporting a large result set.
