Emailing Receipts from Back Office

Emailing a customer their receipt directly from the transaction — instead of them having to dig up a paper copy — settles a "can I get a copy of that" request in seconds. This guide covers emailing a receipt from a transaction's detail page.

How Emailing a Receipt Works

Access requirements. You'll need view access to "Transactions" (or "Ecommerce transactions" for online orders) to open the Email Receipt form, and edit access to that same permission to actually send it.

  • Only available once an order is ready for a receipt. "Email Receipt" only becomes clickable once the order is paid and either completed or returned — otherwise it shows greyed out with no explanation for why.

  • The email field starts pre-filled when it can, but you can always change it. If the order has a customer with an email on file, it fills in automatically; otherwise you'll type one in yourself. You can send to more than one address at once, separated by commas.

  • One bad address blocks the whole send. If you're emailing multiple addresses and even one of them is invalid, none of them receive anything — the form just shows an error, and nothing goes out until every address is valid.

  • It doesn't include your receipt logo or footer message. The emailed receipt (and the exported PDF) uses a plain, Scotch-branded layout — the logo and footer message you set under Settings → Stores → Receipt printing only show up on receipts printed at the register, not here.

  • "Receipt successfully delivered" means it was queued to send, not that it was actually received. That confirmation appears as soon as the email is handed off — if something goes wrong after that (a bad address that slipped through, a rejected send), there's no record of the failure anywhere in Back Office.

  • Nothing about it becomes a lasting record. Once the confirmation toast disappears, there's no log of who emailed a receipt, when, or to which address.


Emailing a Receipt

Step 1

Open the transaction you want to send a receipt for.

Step 2

Click the "⋮" menu, then click "Email Receipt."

Step 3

Under "Enter email," review or edit the pre-filled address, or type in one or more addresses separated by commas.

Step 4

Set "Number of bags" if you want the receipt printed as multiple numbered copies (1 of X, 2 of X…) to help split up a multi-bag handoff — otherwise leave it as is.

Step 5

Click "Submit."


Troubleshooting

  • "Email Receipt" is greyed out: the order isn't paid and completed or returned yet — you can't email a receipt until it reaches that state.

  • Submitting shows an address "is not a valid email address": check every address in the list — if even one is malformed, none of them get sent.

  • A customer says they never received the receipt: there's no delivery confirmation or send history in Back Office beyond the one-time "Receipt successfully delivered" toast — double-check the address you entered and send it again; there's no way to see whether it actually landed.

  • You don't see your store's logo or footer message on the receipt: that only appears on receipts printed at the register — emailed and exported PDF receipts use a plain, unbranded layout instead.
