Tracking Employee Hours

Scotch doesn't run payroll or calculate pay, but it does track every clock-in and clock-out, so you have accurate hours to hand off wherever you actually run payroll. This covers viewing, fixing, and printing that data.

How Tracking Hours Works

Access requirements. You'll need view access to "Analytics & Reports" to see hours worked, and edit access to fix a punch, add a shift manually, or delete one.

  • Scotch doesn't calculate pay, withhold taxes, or connect to any payroll provider. This only tracks the hours themselves — you'll still take that data to whatever payroll tool or process you already use.

  • The report doesn't default to today. It starts showing every employee, every store, your entire history, oldest shifts first. Set a date range, or you'll be paging through old shifts before you reach anything recent.

  • A missing clock-in or clock-out looks different depending on where you're looking. On screen it shows as a dash. On the printed report, it says "No clock in" or "No clock out" instead.

  • Printing exports everything matching your filters, not just the page you're looking at. You don't need to page through results first — set your filters, then print.

  • If your stores are outside a certain time zone, the printed report and the on-screen table can show different times for the same shift. Treat the on-screen table as the more reliable one if the two ever disagree.

  • An employee clocking in twice without clocking out first — including at two different stores in one day — can pair incorrectly. The earlier clock-in gets closed out with no matching clock-out the moment a new clock-in comes in, with no warning that it happened.

Viewing Employee Hours

Step 1

Click on "Analytics & reporting" in the left-menu bar, then click on "Shifts."

Step 2

Filter by "Employee," "Store" (on multi-location accounts), "Start date," and "End date." Leave any of these blank to include everything.

Step 3

Review the table: Employee, Store, Date, Clock in, Clock out, and Hours worked.

At the bottom, a "Total hours worked" row adds up every shift that matches your filters — not just the ones on the page you're looking at. A shift with no clock-out counts as zero, so if anyone is still on shift or forgot to clock out, the total will read lower than the hours those people actually worked. If you're using the total for a pay period, fix those shifts first.

Fixing a Shift

Step 4

Click a shift to open it.

Step 5

Update "Clock In Time" or "Clock Out Time" as needed.

Important: clearing a time field removes that punch instead of correcting it — leave it as is unless you actually mean to delete just that side of the shift.

Step 6

Click "Update shift."


Adding a Shift Manually

Step 7

Click "New shift."

Step 8

Choose the "Employee" and, on multi-location accounts, the "Store."

Step 9

Enter "Clock In Time" and/or "Clock Out Time." You can fill in just one if that's all you're recording.

Step 10

Click "Create Shift."


Deleting a Shift

Open the shift, click "Delete shift," and confirm.


Printing a Report

Set your filters the way you want them, then click "Print." This opens a PDF covering everything that matches your filters — not just what's currently on your screen.


Troubleshooting

  • The Shifts page looks empty or shows very old data: it defaults to your entire history with no date range — set a "Start date" and "End date" to see recent shifts.

  • A shift shows a dash instead of a clock-out: that's expected for an open shift where the employee hasn't clocked out yet, or forgot to.

  • You cleared a time field to fix a typo and now the shift looks incomplete: clearing a field removes that punch rather than editing it — reopen the shift and enter the correct time instead of leaving it blank.

  • The printed report shows different times than what you see on screen: for stores outside a certain time zone, the print and the on-screen table can disagree — trust the on-screen table.

  • An employee's shift looks cut short with no clock-out, even though you know they worked a full day: check whether they accidentally clocked in twice, or clocked in at a second store before clocking out of the first — either can close out the earlier shift early.

  • You don't see a "Store" filter: that only appears on accounts with more than one store.
