Scheduling Reports
How Scheduling Reports Work
Access requirements. View access to "Analytics & Reports" is enough to subscribe, edit, or delete a scheduled report — you don't need edit access.
Only specific reports can be scheduled, not any page. A "Subscribe" button only shows up on report tabs that support it. If you don't see one, that particular report can't be scheduled.
Recipients are just email addresses, not linked to user accounts. Any email works, and there's no automatic cleanup — if someone leaves, they'll keep getting scheduled reports until someone removes them from the recipient list by hand.
Which report, store, and date range a schedule covers can't be changed after it's created. To change any of those, delete the schedule and subscribe again with the settings you want.
If a scheduled report can't be generated, you just won't receive that email. There's no failure notice anywhere in Back Office — the only sign something went wrong is a missing email.
An empty report still sends. Rather than skipping the email, you'll get one letting you know there was no data for that period.
Where to Access Each Feature
To… | Go to |
Subscribe to a report | That report's page → "Subscribe" |
View, edit, or pause your scheduled reports | Analytics & reporting → Report schedules |
Delete a scheduled report | Report schedules → "Delete" |
Subscribing to a Report
Step 1
Open the report you want to schedule under "Analytics & reporting," and click "Subscribe."
Step 2
On multi-location accounts, choose which "Stores" to include — a separate schedule is created for each store you pick. Some reports cover every store at once — "Purchase analysis" is one. For those there's no store picker: you'll see "This report covers all of your stores," a single schedule is created instead of one per store, and the emails are labeled "All stores" rather than a store name.
Step 3
Choose a "Cadence," and, depending on it, a day of the month or day of the week.
Step 4
Choose a "Reporting period" — the date range each email will cover.
Step 5
Enter "Recipients" (separate multiple emails with commas), adjust the "Title" if you'd like, choose a "Format," and edit the "Message" if you'd like.
Step 6
Submit.

Save.
Deleting a Scheduled Report
Step 11
On the Report schedules list, click "Delete" next to the one you want to remove, and confirm.
Troubleshooting
You don't see a "Subscribe" button on a report: not every report supports scheduling — only certain ones do.
You want to change which report or store a schedule covers: that's not possible from the edit screen — delete it and subscribe again with the settings you actually want.
You expected a scheduled report and didn't get one: check "Report schedules" to confirm it's still Active. If it is, the send itself may have failed — there's currently no notice for that, so try re-subscribing if it keeps happening.
You got an email saying there was no data: that's expected — an empty report still sends, just with a note that there was nothing to include for that period.
Someone who left is still getting a scheduled report: recipients are just email addresses, not tied to user accounts — edit the schedule and remove them yourself.
