Value on hand looks like one simple number, but it lives in three different places and quietly floors negative stock to $0 along the way. Here's what it actually shows, and where to find it.

How Value on Hand Works

Access requirements. Each place this shows up has its own permission — view access to "Product list" and "Prices" for the per-item column (Product list access alone gets you the page, but the dollar figure itself stays blank without Prices access too), view access to "Inventory" for stock movements, and view access to "Analytics & Reports" for the store-wide total. Having one of these doesn't mean you have the others.

  • It's based on your actual cost layers, not an average or your last received cost. Each unit's contribution comes from the specific price it was actually received at, with the oldest stock counted first.

  • Negative stock never pulls the total down. An item sold into negative stock shows $0 value on hand, not a negative number — it stops contributing rather than subtracting.

  • Items received at no cost quietly add nothing. If something was received with $0 cost on file, it counts as $0 toward value on hand with no warning — easy to miss if it's more common in your catalog than you'd expect.

  • It includes stock that's reserved or allocated, not just stock that's actually available to sell.

  • Only one of the three places shows an actual total. The Product list and Stock movements are both per-item views — you'd have to total them yourself. Only the Inventory "Daily overview" report shows a real, store-wide number.

  • Only that same report lets you look at a past date. Everywhere else only ever shows the current, live figure.

Viewing an Item's Value on Hand

Step 1

Click on "Products" in the left-menu bar, then click on "Product list."

Step 2

Find "On hand ($)" in the grid. If you don't see it, add it back from the columns panel.


Viewing an Item's Value on Hand After a Past Change

Click on "Stock management" in the left-menu bar, then click on "Adjustments"

Find the item and change you're looking for. Each row shows its value on hand before and after that specific change.

If the change was a manual adjustment, you can also correct it here. Open the actions menu at the end of the row and choose "Edit" to fix the units or the cost, or "Delete" to remove the adjustment. Either one recalculates that item's cost and value on hand, so the figures on this page and in the Product list update to match.

A few things to know before you use it. The menu needs edit access to "Data Cleaner." Deleting can't be undone. Rows from your initial import can be edited but not deleted — if you choose "Delete" on one, you'll get a message saying "Initial Import movements cannot be deleted," and the row stays as it is.

Viewing Your Total Value on Hand

Click on "Analytics & reporting" in the left-menu bar, open the Inventory report, and go to "Daily overview."

Choose the store and date you want to look at.

Review "Total value on hand" at the top, then the "By Department" and "By Distributor" breakdowns below it.


Troubleshooting

  • Your total looks lower than you'd expect: check whether you have items with no cost on file — they're counted as $0 toward the total even though they're in stock.

  • An item sold into negative stock still shows $0, not a negative number: that's expected — value on hand never goes below zero for a single item.

  • You can't find a store-wide total anywhere except Daily overview: that's expected — the Product list and Stock movements are both per-item views, not totals.

  • You have access to one of these views and not another: each is gated by a different permission — access to Product list, for example, doesn't mean you also have access to Analytics & Reports.

  • You can see the Product list, but "On hand ($)" is blank: that column needs "Prices" access specifically, in addition to Product list access — the two are separate permissions.

  • You want last week's total, not just today's: only "Daily overview" lets you pick a past date — the other two only ever show the current number.
