AI Analytics lets you ask questions about your store's data and get answers back in seconds — no report builder, no filters. Save any answer as a report you can re-run whenever you want fresh numbers.

How AI Analytics Works

Access requirements. Two things have to be true. First, Scotch has to switch AI Analytics on for your business — contact Scotch support for that. Second, once it's on, a store admin decides who can use it: go to Settings → Users and edit the user. In the Permissions table, find the AI Analytics row under Back office and change its All Stores dropdown from None to Access — the row's description reads "Access to AI Analytics for all stores." That row only appears once Scotch has switched the feature on for your business, so if you can't find it, that's the step still outstanding. Two people signed into the same account can have different access. If you don't see it in your menu, ask your admin to check that permission first.

  • You ask, it queries your data. Type a question like "What were my total sales yesterday?" and AI Analytics looks up the answer in your own sales, inventory, tax, customer, and operations data, then explains it in plain language.

  • It only ever sees your business. AI is locked to your merchant account. It cannot see other merchants' data, and it will decline if you ask it to compare you against other stores.

  • Answers cover every store on your account. AI Analytics answers across your whole merchant account, not one store at a time. Name a store in your question if you want it narrowed down.

  • It answers questions about your data, not general advice. AI Analytics will decline questions it can't answer from your data — industry benchmarks, "what should I stock," coding help. It will still explain what it can do and what any number it reports means.

  • Answers are generated, so double-check big decisions. Every page carries the reminder: "Answers are generated from your store's data — double-check anything important before acting on it."

Asking Your First Question

Step 1

Go to Analytics & reporting → AI Analytics.

Step 2

On a new chat you'll see the prompt "Ask about your sales, inventory, or customers — in plain English." and three starter buttons you can click instead of typing: "What were my total sales yesterday?", "Which products are running low?", and "How did last weekend compare to the one before?"

Or type your own question into the box. Under the starter buttons, a line reads "Answers cover" followed by your business name — a reminder that answers span the whole account, not one store.

Step 3

Press Enter, or click Send. (Use Shift + Enter for a new line inside your question.)

Step 4

Watch the answer build. While AI Analytics works, a status line shows what it's doing — starting with "Thinking…," then updating to reflect whatever it's actually doing, such as "→ Seeing what data you have…," "→ Finding where to look…," "→ Checking the details…," or "→ Crunching the numbers…" Which of these show up, and in what order, depends on the question — not every question triggers all of them.

Step 5

To abandon a question mid-answer, click Stop. The answer freezes and the bubble reads "Stopped."

Step 6

While an answer is running, the question box is disabled and reads "Waiting for the current answer…" You can ask again as soon as the answer finishes.

You don't have to sit and watch. If you leave the chat while an answer is still being written and come back to it, the page shows your question and the answer as it stands, and carries on filling it in from there. When an answer finishes, the page jumps to the top of it so you read it from the beginning.


Asking Follow-Up Questions

AI Analytics remembers the conversation, so you can refine an answer instead of restating it.

After an answer appears, the line under the question box changes to "Continuing your previous chat —"

Step 8

Type your follow-up — "break that down by store," "now show me last month" — and press Enter.

Step 9

To start over with a clean slate instead, click "+ New chat" next to that line.

The conversation is a single thread. Everything you asked earlier stays in context, which is why very long chats eventually need to be retired — see "When a Chat Gets Too Long" below.


Saving an Answer as a Report

Any answer can become a saved report you re-open and re-run later.

Under the answer, click "Save as report."

The link changes to a checkmark and "Saved as report," and the answer appears in the Saved Reports list further down the page.

The report is named after the question you asked. To rename it, click the three-dot (⋯) menu on its row, choose Rename, type a new name, and click Save.

To remove it, use the same three-dot menu and choose Delete. You'll be asked to confirm: "Delete this report?"

Saved reports are private to you. Other users at your business have their own separate lists.


Re-Running a Saved Report

In the Saved Reports list, click the report's name.

Step 15

The report opens on its own page, titled with the report name. It shows the answer exactly as you saved it. If the report has live numbers behind it, they aren't run automatically when the page opens. Underneath the answer you'll see "Refresh to run this against today's data." until you run it.

Step 16

Click Refresh at the top right to run the numbers against today's data. The button itself reads "Running query…" while it works, and the results appear underneath the saved answer. The answer above them doesn't change.

Step 17

The answer carries "Saved" plus the date and time you saved it, and that never changes. The results underneath carry a caption of their own — "Updated" plus a date and time — and it only appears once you've run them.

Step 18

Click Adjust at the top right to reopen the chat the report came from, so you can tweak the question with the rest of that conversation still in context. If that chat has since been deleted, Adjust opens a new chat with the original question pre-filled instead.

Step 19

Click Copy at the bottom of the page to copy the report — the whole saved answer, plus the results and the time they were run — to your clipboard. It pastes into a spreadsheet with the columns intact, and a "Report copied" confirmation appears. If you haven't run the numbers yet, Copy copies the answer on its own.

Step 20

Click "Back to AI Analytics" at the top left to return to the main page.

Refreshing re-runs the exact same data lookup the original answer was built from — no AI is involved, so it's fast and gives the same shape of answer every time. The explanation text stays exactly as it was written; only the table underneath is re-queried.

A report keeps the whole original answer. Everything AI Analytics wrote — the lead-in, any commentary after the numbers, and any table it put together itself rather than looked up — stays on the page word for word. Fresh results are added underneath the answer, never in place of it.

Some reports can't be refreshed. If the answer had no underlying data lookup — a definition, an explanation, an answer to a question AI Analytics declined — the report saves as a fixed snapshot of the full original answer, with no Refresh button.


Managing Recent Chats

The Recent Chats list at the bottom of the AI Analytics page holds your last 20 conversations, newest first. Each row shows the chat name and when it started. If you haven't renamed a chat, the row shows the first question you asked instead, shortened to fit — or "(empty chat)" if the chat was never used.

Click a chat's name to re-open it and continue where you left off.

To rename it, click the three-dot (⋯) menu on the row, choose Rename, type a new name, and click Save.

To remove it, use the three-dot menu and choose Delete, then confirm "Delete this chat?"

When you're inside a chat, this list is headed "Other recent chats" and excludes the one you're reading.

Deleting a chat does not delete reports you saved from it — a saved report keeps its own copy of the answer.


When a Chat Gets Too Long

AI Analytics re-reads the whole conversation on every question, so a very long chat gets slower and less accurate. A few things happen as a chat grows:

The long-chat warning. An amber banner appears once a chat gets long enough: "This chat is getting long — answers can start to drift as a chat grows. If you've got what you need, save it as a report and start fresh." It offers Copy chat (copies the whole conversation to your clipboard) and Start fresh (opens a new chat). Click the ✕ to dismiss it — that hides it for that chat, in that browser tab, until the tab is closed. It will still appear on other long chats.

The hard stop. Once a chat is close to its length limit, it won't accept new questions at all. Sending one returns: "This chat is too long to continue — copy anything you need, then start a new one." Your typed question stays in the box so you can copy it into a new chat.

A related message can also appear mid-answer, if the limit is hit while AI Analytics is in the middle of building a response rather than caught before you send: "This chat is too long for the assistant to continue. Start a new chat." The fix is the same either way.

The fix in every case is the same: save what you need, then start a new chat. Nothing is lost — old chats stay in Recent Chats.


Telling Us Whether an Answer Was Useful

Under every answer is "Was this helpful?" with a thumbs-up and a thumbs-down.

Thumbs up records the vote immediately and shows "✓ Thanks — this helps us improve AI Analytics."

Thumbs down opens "What was wrong?" with four options: "The numbers look wrong," "Didn't answer my question," "Couldn't do what I asked," "Confusing answer." Pick one, optionally add detail in "Tell us more (optional)…," then click Send Feedback.

There's also a separate "Copy answer" link under each answer, which copies just that answer's text and shows its own "Answer copied" confirmation — distinct from the "Report copied" confirmation on a saved report.


What It Looks Like in Back Office

The page is headed "AI Analytics" and is the last item under Analytics & reporting in the left navigation. Users without access don't see the link at all, and the page's address returns a "page not found" for them.

Your questions appear as blue bubbles on the right with your name and the time.

AI Analytic's answers appear on the left, labelled "AI Analytics," with a coloured bar down the left edge. Answers are formatted text — headings, bullets, and tables where they help.

Answers name their own source. Every answer ends with a plain-language line saying what it's based on and the date range it covers, for example "Based on your completed sales from June 1–7."

Answers never show technical detail. AI Analytics is explicitly instructed not to show tables, columns, or query code to merchants. If a merchant reports seeing that, treat it as a bug worth escalating.

Declined questions still get an answer. Asked something outside its scope, AI Analytics says so briefly and points back at what it can help with — sales, inventory, tax, customer, and operations data.

A refused or failed turn shows a red banner above the question box with the reason. The exact wording depends on what went wrong; see the table below.


Error Messages and What They Mean

These are the messages a merchant may see in the red banner above the question box.

"Still finishing the last question on this chat — give it a moment."

A second question was sent while one was still running.

Wait for the current answer to finish.

"The data warehouse rejected that query. The agent may have asked for something it isn't allowed to access."

AI Analytics tried to look up something it isn't permitted to.

Rephrase the question. Escalate if a reasonable question keeps hitting this.

"This turn didn't finish. Please try again."

The answer stalled and never completed.

Re-send the question. Escalate if it repeats.

"These numbers couldn't be refreshed right now."

A saved report's Refresh couldn't run.

Try Refresh again; escalate if it persists.

Anything else naming an internal error

Something on Scotch's side, not the merchant's — a configuration problem, a data-warehouse authentication failure, or an unrecognised error.

Contact Scotch support. The merchant can't fix it, and retrying usually won't help.


Troubleshooting

  • The merchant can't find AI Analytics in the navigation. Two things must both be true: the feature is enabled for their merchant account, and their specific login has been individually granted access by Scotch staff. There is no Settings → Users permission for this a merchant admin can flip themselves — if support wants a user added, that request goes to Scotch, not the merchant.

  • One user has AI Analytics and another doesn't. Expected — access is granted per individual login, not per store or per account, and it's a Scotch-side grant, not something visible or editable in Settings → Users.

  • A user can't see a colleague's chats or reports. That's expected. Chats and saved reports are private to the user who created them; users at the same business don't share history.

  • A number looks lower than the merchant expects, especially for today. Data loads in batches through the day, so today's totals may still be filling in — usually caught up within about an hour. Have them re-check later before treating it as wrong.

  • AI Analytics' number doesn't match a back-office report. Ask which report and over what dates, then escalate with both figures. Known sources of difference include tax rounding, cost-of-goods methodology, and the timing of purchase-order receipts.

  • Sales totals seem to be cut at an odd hour. Daily figures use a business day running 3 AM to 3 AM, not midnight to midnight, so late-night sales land on the previous business day. Questions about time of day are answered on actual clock time.

  • AI Analytics refuses a question the merchant thinks is reasonable. It only answers from that merchant's own ScotchPOS data. Comparisons against other merchants, industry benchmarks, buying advice, and general knowledge are all out of scope by design — that's not a bug.

  • A saved report has no Refresh button. Only reports whose answers came from a data lookup can be refreshed. Explanations and declined questions save as fixed snapshots of the original answer. Use Adjust to re-ask the question instead.

  • A saved report's table looks incomplete. Large results are capped; a note above the table says how many rows are shown out of how many exist. Ask a narrower question to get the full set.

  • The answer never arrives and the bubble sits on "Thinking…" The page recovers on its own within about 15 seconds and shows either the answer or an error. If it stays stuck past that, reload the page — a finished answer will be there. Escalate if it repeats.
