Fixing Duplicate Items
How Fixing Duplicates Works
Access requirements. You'll need edit access to the "Product list" permission to merge, move, duplicate, or delete a pack size, or to delete a product family.
Product families and pack sizes. A product family is the overall product — "TITO'S VODKA." A pack size is one specific size or unit of that product sold on its own, like a 750ml bottle or a case of 12. A family usually has several pack sizes listed under it.
Two different problems, two different fixes. A duplicate family (the same product listed as two separate catalog entries) gets fixed by merging its pack sizes onto the real one — rename the duplicate to match the family you're keeping, and Scotch offers to merge it for you. A duplicate pack size (two rows for the same size under one family) gets fixed by deleting the redundant row.
Deleting is safe even with history. Removing a family or a pack size doesn't erase its past sales, stock, or cost history — it's safe to do even on ones you've been using for a while.
Nothing carries over when you delete the wrong twin. If you have two rows for the same pack size, whichever one you keep is the one that gets all future sales and stock activity — the deleted one's history doesn't merge into it.
Shared inventory can block a merge, move, or delete — and only Support can clear it. If a pack size's stock is linked to another one's, you can see that link on the item's own page, but only Scotch staff can actually unlink it. There's no self-service way to do that part yourself.
Where to Access Each Feature
To… | Go to |
Merge a duplicate product family into the one you're keeping | A pack size's page → "Edit" → "Edit name" |
Move a pack size to a different product family | A product family's page → the pack size's "⋮" menu → "Move" |
Delete a product family | A product family's page → "⋮" → "Delete" |
Delete a single pack size | A product family's page → the pack size's "⋮" menu → "Delete" |
Fixing a Duplicate Product Family
Use this when the same product exists as two or more separate catalog entries — for example, "TITOS VDK" and "TITO'S VODKA" both showing up as their own items in "Product list."
Step 1
Decide which family you're keeping — usually whichever one already has more sales history or the cleaner name. Sales history is kept per pack size, so to compare two families, open one of each family's pack sizes from "Product list" and check the "Sales and orders" tab on each.
Step 2
From "Product list," open any pack size belonging to the duplicate family you're getting rid of, click "Edit," then click "Edit name."
Step 3
Under "Product name," type the name of the family you're keeping — spelled exactly the way that family spells it — then click "Save."
Step 4
Saving stops with "Name already taken," and offers to merge into the existing product instead. Click the "Merge into" button, which names the family you're keeping.
Step 5
Every pack size moves onto the family you're keeping, the emptied duplicate is deleted for you, and you'll see "Merged into existing product."
Note: If the merge is blocked or fails, that family's stock is likely linked to another item's. You can't unlink that yourself — contact Support to unlink it, then try the merge again.
Important: don't skip ahead and delete a family that still has pack sizes on it — "Delete" removes any remaining pack sizes right along with the family. Move everything you want to keep first.
Fixing a Duplicate Pack Size
Use this when the same size shows up twice under one product family — often left behind after using "Duplicate" to create a similar pack size and forgetting to change the size itself.
Step 6
Open the family and find both rows for the same pack size under "Items."
Step 7
Decide which one to keep. From this point on, only the one you keep gets new sales, stock, and pricing activity — nothing from the one you delete carries over to it.
Step 8
Click "⋮" next to the one you're removing, click "Delete," and confirm.
Note: if Delete is blocked with a message about the item being linked as inventory for other pack sizes, it can't be safely removed until Support unlinks it — that's not something you can do yourself.
Troubleshooting
Move fails with "Item could not be updated": the pack size is very likely tied to another one through shared inventory — contact Support to unlink it, since there's no merchant-facing way to do that yourself.
Delete is blocked because the item is "linked as inventory for other pack sizes": same cause as above — contact Support to unlink it first.
You deleted the wrong pack size out of a duplicate pair: nothing merges automatically, and there's no undo from here — you'd need to recreate it and manually reproduce anything you needed from its history.
You're not sure two families are actually duplicates: compare their pack sizes, SKUs, and details side by side before moving anything — once you start moving pack sizes off a family, reversing it means moving each one back individually.
