ScanSnap Invoice / Documents Scanner Setup

A cleanly scanned invoice saves you from typing every line by hand when receiving inventory. This covers setting up the ScanSnap scanner that gets it there.

Before You Start

  • What you'll need. The ScanSnap unit, its power cord, a USB-A to USB-B cord (a Zebra label printer's USB cord works in a pinch if you don't have one), and a back-office computer with a strong internet connection — ideally the one your store primarily uses for receiving.


Setting Up the Scanner

Step 1

On the back-office computer you'll use for receiving, download the ScanSnap software.

Step 2

Connect the scanner via the USB cord to begin setup, and follow the download prompts.

Step 3

Select the iX1300 version scanner.

Step 4

Make sure the scanner is turned on by pressing the scan button. Pairing happens automatically over the USB connection and can take a few minutes.

Step 5

Once the scanner is found, you'll have the option to set up a wifi connection instead of the USB cord. This is optional — you can leave it corded for now and set up wifi later if you'd like.

Note: if you do set up wifi, make sure the wifi switch on the back of the scanner is turned on.

Step 6

When the software asks you to create an account, you can skip this step.

Once setup is done, run a test scan and confirm where the scanned file was saved.

Step 8

Consider creating a "[Store Name] Scanned Invoices" folder on the desktop to keep scans organized.

Important: For long receipts, hold the Scan button until it blinks three times. For regular paper (8.5" x 11") or a multi-page document, press the Scan button once.


Troubleshooting

  • The ScanSnap won't wake up: make sure the paper tray is opened all the way.

  • The scanner isn't found during setup: try plugging the USB cord into a different port on the computer.

  • You're missing the ScanSnap USB cord: a Zebra label printer's USB-A to USB-B cord works as a substitute.

  • You get an error that the ScanSnap is in use by another application: unplug the USB cord, power the ScanSnap off, unplug its power cord, then plug everything back in. Trying a different USB port can also help.
