How Making a Sale Works
Access requirements. Any employee can log in with their register PIN and start selling — Manager and Cashier PINs work the same for this step. Some actions inside a sale (manual card entry, cash withdrawal, inventory adjustments, adjusting loyalty points) default to requiring a Manager PIN specifically; others allow either role but still prompt for a PIN re-entry. Your store's admin can change or turn off these per-action rules from the back office.
Cash drawer required. You can't take payment until a cash drawer session is open — until then most cart actions (discounts, hold, retrieve, clear order) are disabled, "Pay" is replaced by a "Go to cash drawers" shortcut, and starting or retrieving an order fails with "You need to start a cash drawer session before starting an Order."
A sale isn't final until you tap "Complete sale." Items and tenders can still be adjusted mid-sale; the sale only posts to the register and updates the cash drawer once you finish the payment-summary screen.
One tender or several. A sale can be paid with a single tender (cash, card, gift card, loyalty points, and more) or split across multiple tenders until the balance due reaches zero.
Starting a New Sale
Before you start, make sure a cash drawer session is open — see your cash-drawer/till article for how to open one.
Step 1
From the register (Sales tab), scan or search for an item to add it to the cart. An empty cart shows "Scan or select an item to begin a sale" until you add something.
Step 2
Add every item the customer is buying. Tap an item in the cart to "Set quantity," "Set price," or "Discount item" if needed.
Step 3
To apply a discount to the whole order instead of one item, use "Discount Order" in the cart actions.
Step 4
If a cash discount, credit surcharge, or tax exemption applies to this sale, apply it from the cart actions before moving to payment.
Step 5
Tap "Add customer" to attach a customer to the sale — for receipts, a house account, or loyalty.
Choosing a Payment Method
Step 6
Once every item is in the cart, tap "Pay."
Step 7
On "Choose payment method," pick a tender — "Cash," "Card," "Gift Card," "Points," "Check," "House Charge," or "Split" to pay with more than one tender (delivery/third-party tenders may also appear here where enabled).
Taking a Cash Payment
Step 8
Enter the "Cash received" amount.
Step 9
If the amount received exactly matches the total, confirm "Exact change" when prompted, or tap "Edit amount" to correct it.
Step 10
Tap "Finish purchase" to complete the cash tender.
Taking a Card Payment
Step 11
Hand the customer the card terminal. The screen shows "Waiting on Card…" then "Processing" while the terminal reads the card.
Step 12
If the card is approved, tap "Finish purchase" to complete the tender. If it's declined or the terminal loses connection, see Troubleshooting below.
Step 13
To key in a card manually instead of using the terminal, choose "Manual CC" from the card actions (this defaults to requiring a Manager PIN — your admin can change that).
Splitting a Sale Across Multiple Tenders
Step 14
Choose "Split" (or "Split Cash," "Split Card," "Split Gift Card") on "Choose payment method."
Step 15
Enter the amount for the first tender and complete it the same way as a full-amount payment.
Step 16
Repeat for each additional tender — the "Balance due" on the order summary counts down until it reaches zero.
Completing the Sale
Step 17
Once tenders cover the full total, the "Payment summary" screen shows "Change Due" (or "Due to customer" if the sale nets a refund) and a "Complete sale" button.
Step 18
Tap "Complete sale." The screen shows "Payment complete!"
Step 19
On "Receipt actions," choose "Print receipt," "Email receipt," or "Text receipt," or tap "New transaction" to start the next sale.
Other Ways to Ring Up a Sale
Holding a sale. Tap "Hold" to park the current cart and start another; retrieve it later with "Retrieve" (this still requires an open cash drawer session).
Voiding a sale in progress. Clearing the cart removes every item from the order.
Attaching loyalty or a customer mid-sale. Add a customer before or during the sale to redeem loyalty points as a tender or attach the sale to a house account.
Important: Clearing an order removes all items and cannot be undone — confirm with the customer before tapping "Clear order."
What It Looks Like at the Register
A brand-new sale shows "Scan or select an item to begin a sale" until the first item is added.
If no cash drawer session is open, cart actions gray out and the app shows "You need to start a cash drawer session before starting an Order."
A declined card shows "Card declined" / "Try again or choose another payment method."
Losing connection mid-payment shows "No internet connection" / "Payment failed. Please try again."
Without internet at all, the register shows a "Working offline" banner: "Transactions will be saved locally and synced once connection is restored."
If the app force-quits or crashes mid-sale, the next time it opens the cashier is prompted to recover or discard the last transaction; recovering re-verifies any card tender with the payment terminal before the sale can continue.
Trying a Manager-only action (like manual card entry) prompts "Authorization required" / "Enter your PIN to continue." Entering a Cashier PIN there shows "Insufficient permissions" instead of going through.
Troubleshooting
"Pay" shows "Go to cash drawers" instead, and other cart actions are grayed out: no cash drawer session is open. Start one from the cash-drawer screen before selling.
Card payment won't complete: check the terminal connection first — a declined card and a lost connection show different messages ("Card declined" vs. "No internet connection"), and both let the cashier retry or switch tenders.
Gift card won't apply: the app reports a specific reason — card not found, expired, no available funds, or insufficient funds for the amount applied. Read the exact message on screen to know which one it is.
A "Recover last transaction?" prompt appears on open: the app crashed or was force-quit mid-sale. Choose "Recover" to resume the sale (any card tender is re-verified with the terminal first) or "Discard" to cancel it — an in-flight card tender is refunded automatically if you discard.
"Insufficient permissions" when entering a PIN mid-sale: the action (e.g. manual card entry, cash withdrawal, inventory adjustment) is restricted to Managers by default, or by your store's own Terminal Security settings. Have a Manager enter their PIN, or ask an admin to change who can perform that action.
