Managing Fees and Deposits

Fees like bottle and keg deposits are often legally required; if they're not set up to charge consistently, you're either quietly losing money on every sale or risking a compliance issue. This guide walks you through setting up and managing Fees!

How Fees and Deposits Work

  • Access requirements. You'll need the "Prices" permission, and your account needs this feature turned on — if you don't see "Additional fees" under Settings, ask an admin to check both.

  • Fee type. Every fee is a "Bottle deposit," "Keg deposit," or "Other," with a flat amount and whether it's taxable.

  • Automatic or Manual. Automatic fees match items by rule (container type, size, or department) and stay in sync on their own; Manual fees apply only to items you pick by hand.

  • Per-pack amount. A fee's amount applies per unit in the pack — a 6-pack shows a fee amount of 6 times the base amount.

  • Store scope. On a multi-location account, a fee can apply to specific stores or to all of them.

Before you create a fee: the Automatic/Manual choice is locked in once you save, and there's no way to delete a fee afterward — only to clear its conditions or items, or set its amount to $0.00. Take a moment to get the mode right, since undoing it means starting over with a new fee.

Adding a New Fee

Step 1

Click on "Settings" in the left-menu bar, then click on "Fees and payouts"

Click "New fee."

Step 3

Enter a "Customer label" — what the customer sees on their receipt, for example "CRV" — and an "Internal label," your own name for it, for example "CRV small container." Choose a "Fee type": "Bottle deposit," "Keg deposit," or "Other."

Step 4

Enter the "Amount" and turn on "Taxable" if the fee itself should be taxed. On multi-location accounts, also choose which stores it applies to; leave this blank to apply it everywhere.

Step 5

Turn on "Managed automatically" to have the system match items by rule, or turn it off to assign items by hand afterward.

Important: you can't switch this after saving. If you pick the wrong mode, you'll need to create a new fee.

Step 6

Click "Save." It will appear after insight has been entered


Setting Up an Automatically-Managed Fee

Available only when "Managed automatically" was turned on when the fee was created.

On the fee's page, open the "Conditions" section.

Choose a subject for the condition: "Container type" matches items whose container is any of or none of the types you pick (bottle, plastic bottle, can, carton, keg, box, other); "Container size" matches items whose size is greater than, greater than or equal to, less than, or less than or equal to a volume you enter, in ounces, milliliters, liters, or gallons; "Department" matches items whose department is any of or none of the departments you pick — this option only lists departments you've already set up in Products → Departments, so create those first if you don't see the one you need.

Step 9

Click "+ Add condition" to add another rule — an item has to match every condition to get the fee.

Step 10

Click "Save." The "Matching items" section briefly shows "Processing" while the system finds and syncs matching items, then lists them.

Editing the conditions re-syncs which items match automatically. Changing the fee type, amount, taxable setting, or customer label doesn't re-check matching — it just updates the fee itself for items that already match.


Setting Up a Manually-Managed Fee

Available only when "Managed automatically" was turned off when the fee was created.

On the fee's page, find the "Assigned items" section and click "Add items."

Step 12

In the item picker, search by name, SKU, or code, then select the items to include and click "Add to fee."


Step 13

To remove items later, select their checkboxes in the "Assigned items" table and click "Remove selected."

What It Looks Like in the Additional Fees List

The list shows each fee's customer label, internal label, fee type, amount, whether it's taxable, mode ("Automatic" or "Manual"), stores (multi-location accounts only), and "Matching" — for automatic fees this reads as a condition count plus matched item count (for example, "2 conditions (14 items)"); for manual fees it's just the assigned item count.

Each matched or assigned item, in turn, shows its name, SKU, department, container type, container size, pack size, and the resulting fee amount for that item — the base amount multiplied by pack size.


Troubleshooting

  • "Additional fees" doesn't appear under Settings: your account doesn't have the feature turned on, or your role is missing the "Prices" permission. Either way, it just won't show up in the menu — ask an admin to check both.

  • An item isn't showing up under an automatic fee: give it a moment — matching runs in the background and briefly shows "Processing" after you save conditions. If it still doesn't match, double-check the item's container type, container size, or department against the fee's conditions; an item has to match every condition, not just one.

  • You need to switch a fee between Automatic and Manual: this can't be done after creation — create a new fee in the mode you want instead.

  • You need to delete a fee: there isn't a way to do that yet. Remove its conditions or assigned items, or set its amount to $0.00, to stop it from charging.
